Agent Inbox Training

Recently, there was a new release on Flexmls that featured Agent Inbox.  Agent Inbox is an all-in-one unified communications platform that has everything a real estate agent needs to message, schedule, and make a deal. 

It works seamlessly across all your devices - iOS, Android, and Desktop helping you connect quicker and easier with other members in RealtyWEB.Net.

Suggested Settings for Windows 10 & the RealtyWEB.Net MLS

If you have recently upgraded to Windows 10 or purchased a new PC with Windows 10 installed, you may find that certain default programs have changed. On Windows 10, you may find the both the default browser and the default pdf reader has been replaced by Microsoft's new program titled Edge.

Edge comes with many enhanced features but some functions/processes that many of us have in place may need some future tweaking.

In the meantime, we recommend you use Internet Explorer 11 instead of Edge and make Adobe Reader the default app/program for your pdf files (contracts, forms, etc.).

To do this, try one of these three suggestions:

  • Call our Technical Support (904) 394-9494 x 1605
  • Watch this video (note: there is no sound on this video)
  • Complete the following:
    1. Open Edge
    2. In the upper right corner click the three dots (...)
    3. Select "Open with Internet Explore"
    4. (Optional) If you would like to PIN Internet Explorer to your taskbar, go to the bottom where you will see the traditional symbol for Internet Explorer (the blue e).  Right click on the icon, Left click "Pin to taskbar."
    5. Click on the Windows icon in the far bottom left side of screen
    6. Select "Settings"
    7. Click on the first option titled "System"
    8. Select "Default Apps" on the left side
    9. To the right, scroll down to Web Browser, Click on Microsoft Edge and select "Internet Explorer"
    10. Scroll to the bottom of the screen and click "Choose default apps by file type"
    11. Find .pdf on the list and again click on Microsoft Edge and select "Adobe Reader"
That's it - you are set to go.  As processes change, we will be sure to keep you up to date.

A Message from Mark Rosener, RealtyWEB.Net MLS 2016 President

Happy New Year to all of our Members!

First, I want to thank all of the 2015 Northeast Florida, Inc. Board of Directors.  Their dedication, intellect, insight, and experience were instrumental in laying a solid foundation for our organization moving forward into 2016. I would like to extend a special thank you to Kathy Tinney, Discover Realty, Inc of Orange Park, for completing her 3 year term of service.   

Also, please welcome our new 2016 member, Carlene McDuffie, Palm III Realty Inc. of Fernandina Beach.  She is joined by 10 other dedicated volunteers who serve on the Northeast Florida MLS, Inc Board of DirectorsClick for a complete list of the 2016 Executive Officers and Board of Directors.


2016 promises to be an exciting year.  With an updated strategic plan in place, we expect to make great strides in our efforts to keep RealtyWEB.Net MLS moving forward.  This year, we are focused on creating new business relationships while improving those we have currently established.  We continue to stay on top of industry changes (such as the CFPB). Watch for new/updated listing agreements and other forms as well as enhancements to the Closing Cost Estimator program in Flexmls.

Keeping in line with trends and technology, we will be installing an interactive statistical program that enables you to customize charts and data for your presentations and the option to include them on your website.  A new tax system is coming from our subsidiary Metro Market Trends (MMT).  MMT is the leader in providing accurate property records data for the state of Florida.

Communications will also be a key area of concentration for 2016.  We want to be sure that we are communicating with our members using the best methods possible.  Below are some current and upcoming options to help you stay on top of all the new changes and announcements:

Changes to Portal Logins & Listing Collections in the Portals from Flexmls coming January 25

On January 25, some important changes are coming to Flexmls Portals. These changes include simplifying and enhancing Listing Collections for favorite listings and a new login process for existing customer portals. These changes are being made in order to pave the way for a new Consumer version of Flexmls for iPhone.

Why make these changes?
The Portal changes described below are needed in order to release a new consumer version of Flexmls for iPhone in February. Expect a full announcement detailing the consumer app in a few weeks, but until then, know that the app will allow your contacts to receive push notifications for new listings on their iPhone, manage their subscriptions and news feed, and keep track of their favorite listings. 




We hope this new app allows you to engage your customers faster, easier, more completely than ever before. However, before the app is released, we must first make the following changes for Portals in Flexmls.

Portal Change 1: New Terminology - Save and Hide
The first change is a simplification to how consumers save listings. Previously, users had three choices to flag a listing: Favorite, Like, or No Interest. In gathering feedback about this feature from consumers, we've found that most don't differentiate between Favorite and Like, so we were offering unnecessary choices. To fix this, we're reducing the options to just two: Save and Hide. Our research has shown that these two choices are easier for customers to understand and use.

Below is a screen shot showing what your contacts will see when they log in to the Portal, what you'll see when you Work on Behalf of a Contact, and what you'll see when you View Portal from the Contact Management page. The terminology changes will also carry over into the iPhone and Android apps as well as the mobile version of Flexmls. The Favorites collection will now be called Saved, and the No Interest Collection will be labeled Hidden by Me. Listings that you, as the agent, mark as Removed will now be in the Hidden by Agent collection. Hidden listings will not appear in the News Feed nor in contact's portal searches. For existing portals, the Likes collection will be relocated to the Custom Collections and relabeled as Archived Likes

 
 

Importantly, we know these changes may cause confusion for existing portal users and we apologize for any inconvenience the change causes, but we're confident that in the long run, users will find these simplified options easier to use and understand, especially once the new iPhone apps are released.


Portal Change 2: Login with Email Address and User Defined Password
Currently, consumers login to the customer portal with a username and password the agent sets up for them. There are three problems with this: (1) agents are required to manage usernames and passwords; (2) consumers cannot easily control and reset their own password; and (3) usernames and passwords change per agent instead of sticking with the consumer. Allowing consumers to manage their own account and preferences when interacting with Flexmls products will allow future consumer-focused improvements, like the upcoming Flexmls consumer app for iOS.

With this update, to make the login easier to remember, the client's email address will be used for the username. When existing users log into the portal, the system will prompt them to confirm the email address they'd like to use as their username and to set a password for that email. 
 


As they are in control when setting their new username and password, customers will only have to remember their email address and the password they set themselves, which should make it easier to remember.

If they forget their password, they can click the Password not working? link on the portal login page. If they ask you to reset their password, access their record in Contact Management, go to the Portal tab, and click the Reset Account option at the bottom of the screen.

To invite an existing contact or a new contact to use the Portal, select the contact in Contact Management and click on their Portal tab, then click Invite to Portal.   


A popup text box will open, allowing you to add additional text to the Portal invite; however, it is not required for you to add any additional text. Notice, you no longer have to set a username and password. Click Invite to send the invitation. 



Your contact will receive an invitation to the portal in their email. If you added additional text when sending the invitation, it will appear immediately after the contact's name. When they click the My Portal link, they will be able to set their email username as well as their password.  


New Subscription Opt-In Status Report coming to Flexmls January 11

On January 11, you will be able to see subscription statuses for all of your contacts in one clean, real-time, easy-to-read report: the Opt-In Status Report. The report can be run directly from Flexmls Web and allows you to:

  • See contacts with a Pending status and provide a link to resend the opt-in email request,
  • See email addresses flagged as Undeliverable and jump to a contact's record in order to edit their email address and ensure their opt-in email can get through,
  • See when Confirmed email addresses will lapse,
  • See who has Opted-Out of receiving emails in order to follow up with them personally,
  • And more!

  • To access the Opt-In Status Report, go to the Contacts Menu and click Opt-In Status.



    The report has five tabs to help you manage your subscriptions: Pending Opt-In, Undeliverable, Confirmed, Opted Out, and Inactive. Each tab is explained in detail below. Each tab displays 25 contacts at once. If you have more than 25 contacts within a particular status, click on the page number found in the report's right corner to view more contacts.

    Pending Opt-In
    The Pending Opt-In tab shows contacts who have been sent an opt-in request. The opt-in request includes a link to confirm their email address and to indicate that they want listing update emails. Until the contact clicks the link, listing updates will not be sent. The Pending status indicates that, although they have received the opt-in request email, they have not yet clicked to confirm their email address.



    The Days Pending Column indicates how many days have gone by since the opt-in email request was sent to them. If you would like to manually resend the opt-in email, click the Resend Request link.

    Note: As always, you can only resend the link once, so it would be appropriate to contact the user personally before clicking the Resend Request option. Click on a contact's name to view their full contact information including all phone numbers and email addresses you have associated with the contact in Flexmls.

    Undeliverable
    The Undeliverable tab shows contacts with email addresses that have been flagged as undeliverable. Contacts shown on this tab are unable to receive opt-in requests or listing updates via email. The Days Undeliverable column shows how long the email address has been marked as undeliverable, and the Reason column indicates the reason why email is not being sent to the address.



    A contact's email address may be flagged as undeliverable in the following situations:

  • The address doesn't exist - The email address, as listed, may be incorrect. The suggested course of action is to contact the individual personally and verify their email address.
  • Considered spam - Either the contact or their email provider has marked your message as spam. The suggested course of action is for the contact to search their spam folder, find the email, and mark the sender as Not Spam. Once they have done so, you can resend the opt-in email.
  • Unknown technical error - This indicates that contact's email provider had a technical issue with the delivery.
  • Recipient mailbox full - The contact's mailbox is full and cannot accept incoming email. The suggested course of action is to contact the individual and allow them to clear out their Inbox so they can receive incoming email. Once they have done so, you can resend the opt-in email.

  • Confirmed
    The Confirmed tab shows all of your contacts who have confirmed that they have a valid email address and would like to receive listing updates via email. The Days Until Lapsed column indicates how many days must pass with no activity before the contact's email address lapses and it is marked as Inactive. A contact's email address status will stay Confirmed, and they will receive listing updates indefinitely, as long as they click any listing link in their subscription email at least once ever 13 months.



    The Last Click in Subscription Email column indicates the last time the contact clicked a link to view listings from their subscription email.

    Opted Out
    The Opted Out tab shows contacts who have clicked the Unsubscribe link at the bottom of a listing updates email and opted out. These contacts have manually clicked to opt out of receiving listing updates via email. The Days Opted Out column shows how many days have passed since each contact opted out of receiving subscription emails.



    The Last Click in Subscription Email column indicates the last time the contact clicked a link to view listings from their subscription email.

    If you would like to manually resend the opt-in email request, click the Resend Request link (not pictured above).

    Remember: The contact has already manually opted out of receiving listing updates via email, so you should only resend the opt-in request if they have contacted you and indicated that they would like to start receiving listing updates again. If you believe they have opted out by mistake, please contact them before resending the opt-in email. Click on a contact's name to view their full contact information including all phone numbers and email addresses you have associated with the contact in Flexmls.

    Inactive
    The Inactive tab shows all contacts who have been marked as Inactive due to the contact not clicking a link in their subscription email for 13 months. No listing updates are sent to inactive email addresses. If you would like to invite the contact to subscribe to listing updates, you can manually resend the opt-in email by clicking the Resend Request link.



    Note: As always, you can only resend the link once, so it would be appropriate to contact the user personally before clicking on the Resend Request option. Click on a contact's name to view their full contact information including all phone numbers and email addresses you have associated with the contact in Flexmls.
