Quick Launch Relabeled

On December 21, the Quick Launch bar will be relabeled in Flexmls Web to make its functionality more intuitive. Instead of displaying text that says Quick Launch when not in use, the Quick Launch bar will display text that says Enter Address, City, ZIP, MLS#, or Menu Item.



Please Note: The Quick Launch functionality will not change.

The updated text indicates just some of the different items that the Quick Launch can search. Clicking on the Quick Launch bar allows you to access your Recent and Draft searches and by typing at least two characters into the bar, you can access the following:

  • Saved Searches
  • Quick Search Templates
  • Your Contacts
  • CMAs
  • Listing Collections
  • Members and Offices
  • Listing Addresses
  • MLS Numbers
  • Menu Items
You can also search for listings by typing basic search criteria such as price, status, beds, baths, city and more into the Quick Launch bar.  For more information, click on the links below:

Option For New Tab in Quick Launch

On December 20, the Quick Launch bar will have a new, user-friendly design for opening Quick Launch items in a new tab.

Just as before, type in a name, address, MLS number or search criteria into the Quick Launch bar. When you hover over a result, you'll see a New Tab option. 




Click New Tab and the results will open in a new tab. You can use the Quick Launch bar to open as many tabs of Flexmls as you'd like. Each tab is a full instance of Flexmls, allowing you to use the full menu and access all areas of Flexmls. 




Please Note: If you use the full Flexmls website on a touchscreen device, you do not need to hover over a result to access the New Tab option. Instead, the New Tab option will automatically display for all results in the Quick Launch bar. 


New Features for Users of the Newer Flexmls Portal

If you are using the newest version of the Flexmls Portal, you will soon have the ability to include the listing history for your customers to review. On December 19, when your contacts log in to the Portal, they can view listing history when viewing a listing's details. Additionally, if you use the new Portal, you will have the option to include listing history when manually emailing listings (this feature is already available to those of you using the original Flexmls Portal).

When viewing a listing's details in the Portal, your clients can click to expand and view the Property History. 




Enable/Disable History in Your Portal
Go to the Preferences menu and select Portal Preferences. Click to expand the Listing Content Options and enable (green) or disable (gray) History in your Portal. By turning the History setting on, your contacts will see the History section by default when viewing listing details in the Portal. 




Enable/Disable History in the Portal on a Per-Contact Basis
If you use the new Portal, you can decide on a per-contact basis if listing history should be available. In Contact Management, select a contact and go to their Portal tab. Then select Change Settings and use a check mark to include (checked) or exclude (unchecked) access to listing history for the contact. Please note, a contact's individual Portal Settings will override the general Portal Preferences. 




Include History for Manually Emailed Listings
If you use the new Portal, your options for what is included in manually emailed listings are limited by what the new Portal can display. With History now available in the Portal, the option to include listing history when sending manual emails is also available.

Rating Listings for Portal Users

On November 30, Portal users will be able to rate their saved listings on a scale of one to three stars. This feature will be available for your clients across multiple platforms: the new Portal, classic Portal, mobile web Portal, and the iOS Client App. Agents will also be able to view and change star ratings on behalf of a client in Flexmls Web, Flexmls Mobile Web, and Flexmls Pro for iOS.

Flexmls Portal
Just as before in the Flexmls Portal, users can click the star icon to save listings from their News Feed, Searches or Listing Collections. Saving a listing automatically saves it with a one star rating. When viewing their Saved collection as a list, users can rate listings with up to three stars to help sort and track their favorite listings. 




When viewing the Saved collection, users can sort the collection based on the Star Ratings. 




Flexmls Classic Portal
If you use the classic Portal, users can click the star icon from any tab to save listings from their News Feed, Searches, or Listing Collections. Saving a listing automatically saves it with a one star rating. When viewing their Saved collection, users can rate listings with up to three stars to help sort and track their favorite saved listings. 




Flexmls iOS Client App and Mobile Web Portal
When using the iOS Client App or mobile web Portal, users can tap the star icon to save listings from their News Feed, Searches, or Listing Collections. Saving a listing automatically saves it with a one star rating. From the Saved tab, users can tap to view their Saved listing collection and rate listings with up to three stars to help sort and track their favorite saved listings. 




Viewing Star Ratings as an Agent: Flexmls Web
You can view a contact's star ratings by selecting a contact in Contact Management, going to their Portal tab and clicking their Saved collection. 




Regardless of whether you use the new Portal or classic Portal, you will see the classic Portal layout when you view a contact's Portal from Flexmls Web. When viewing a contact's Saved collection, you can see how many stars they've given each listing or add and remove stars at your contact's request. 




Viewing Star Ratings as an Agent: Flexmls Pro and Mobile Web
In Flexmls Pro for iOS or from Flexmls Mobile Web, go to the Contacts tab and select a contact. Tap Collections and then Saved to view the contact's Saved collection which will include the new multi-star rating system. 




If you would like to change the star rating on behalf of your client, tap the stars next to a listing, then select the number of stars the listing should have. 


 


A Closing Message From Mark Rosener, 2016 President of RealtyWEB.Net MLS

As the year comes to a close, I’d like to take this opportunity to reflect on the past 12 months. It’s been an extremely positive year both for our industry and for our MLS. As your 2016 President of the RealtyWEB.Net MLS, my challenge was to reach out to our members and discuss your needs and wants from MLS services.

What I found was a desire to establish a strong sense of community. I found that we are a group that wants to expand our network, data, and implement tools to better serve our customers. So we listened.

This year our volunteer committees have grown and I give them much credit for taking your input and formulating a plan to move forward. For example, we will be holding our first ever Member Appreciation night. This event, as well as those in the future, is designed to help you expand your business network and take away a quick lesson while having fun.

The data share with the Ocala Board of Realtors is just the beginning of what we believe will be an expanding direct source of data for all MLS members in the Northeast Florida area and beyond.

RealtyWEB.Net MLS has hired more training staff to increase our efforts on updating members with new services and enhancements.

We continue to expand RealtyWEB.Net services:

  • A new Flexmls app with a private version for both and a public version for member’s customers and consumers was released in conjunction with new portal options
  • Infosparks/Faststats was installed for you to share customized real time MLS statistics on your website and social media accounts 
  • Our customized Closing Cost Estimator program was updated to match the CFPB 
  • All members have access to the Form Simplicity Ultimate offering including free unlimited storage and signatures for your contracts 
  • Added the ability to “Share” your listings on a variety of social media networks
  • Transitioned to a new tax system with Metro Market Trends, Inc. (MMT) providing quicker deed transfer updates, lis pended data, and direct links to the county property appraiser’s sites 
Next year promises even more. We are very proud of our growth and I am looking forward to what 2017 brings. We have learned from our members that the true success of our MLS is measured by your achievements utilizing the services offered and how we support you in your efforts. It has been my absolute pleasure to be the 2016 President of RealtyWEB.Net MLS. It has certainly been an exciting and eventful year.

I would like to thank all of those who served with me on the Executive Committee and Board of Directors. A special thank you to those who volunteered their time to serve on our committees and applaud them for their accomplishments. Finally, I would like to thank the staff for their continued support this year. It would be difficult to be successful as a MLS without all of these groups working together towards a common goal - servicing our members.

History on Mobile Web and soon for the Mobile App

On November 16, you will be able to see listing history in Flexmls Mobile Web. The history feature is also coming to Flexmls Pro for iPhone and Android in the near future. 

When viewing a listing's details, tap History to view a summary of listing history that displays Price History at the top of the screen followed by Property History. 

 

Tap an event in Property History to drill down and see more information.

Display Multiple MLS Map Overlays

On November 10, you will be able to display multiple, MLS-provided map overlays at the same time.

When editing a Map Search or on the Map tab, open the Overlays menu and click to select each MLS overlay you would like to display. As shown in the example below, each overlay you select will have a check mark next to it and multiple overlays can display simultaneously.
 


If you want to stop displaying an overlay on the map, open the Overlays menu and click to uncheck the overlay.

Please Note: The ability to choose multiple overlays only applies to MLS overlays; overlays in the My Map Overlays section are still limited to displaying one overlay at a time.

Classic & New Portal Formats and Their Impact on Email Subscriptions

**Although these changes were announced previously, some of the functionality has changed. This announcement provides a new release date and expanded explanations of the new functionality that will be released on October 19.**

On October 19, the Classic Portal Preferences tab will will become the central location for controlling the default behavior for your subscriptions. The new and updated settings described below will be available on October 19 when viewing the Classic Portal Preferences page; however, if you are using the New Portal, you can access these settings now.

New Portal Preference: Default Subscription Settings
As before, when saving a search, there is an option called What events define a listing as New for this search under Additional Search Options. If the search is part of a subscription, when a listing matches the search criteria the checked events will cause the listings to be sent to your contacts and appear in their News Feeds.

On October 19, there will be a new Portal Preference called Default Subscription Settings. This preference controls the default events selected for the option What events define a listing as New for this search when saving a new search. 




The initial default settings are determined by your MLS, but the new Portal Preference allows you to set your own defaults. To override the default settings for a specific search, go to the Save Search screen, click Additional Search Options, and check the events you would like to apply.

You may notice that you have more status options available on the Portal Preferences screen (such as Sold and Pending) than you do in the Additional Search Options of the Saved Search screen. If you select a specific status such as Sold or Pending in the Portal Preferences, the Status Change option will be selected by default under Additional Search Options on the Save Search screen. 




Please Note: The events selected under What events define a listing as New for this search on the Save Search screen also affect search results when a search is accessed from the Results section the Saved Searches screen. This allows you to view new listings for a saved search without the need to set up a subscription for the search. 





Renamed Portal Preference: Exclude these listing statuses from the news feed
The current Portal Preference, Allow these statuses in the portal news feed for listings that no longer match, will be renamed to Exclude these listing statuses from appearing in the news feed unless the status is included in the search. Selected statuses will be excluded from the News Feed. For example, if your setting excludes Closed listings, a listing previously sent to your contact's News Feed will no longer appear in the News Feed if its status changes to Closed. 




As before, this general setting can be set on a per user basis by going to a Contact's Portal tab in Contact Management, and selecting Change Settings 




Note: Although this setting is changing from being inclusive to exclusive for the selected statuses, the behavior of your previous settings will not change. All previously allowed statuses will still be allowed in your News Feed.  

Subscription Email Confirmation Process Streamlined

On October 18, the process for contacts to confirm their email address in order to receive subscription updates will be streamlined to be more user-friendly for your clients.

Just as before, the first time you create a subscription for a contact (with an unconfirmed email address), an email is automatically sent to the contact asking them to click to confirm that they have a valid email address and want to receive subscription listing updates via email. 





Confirming a Subscription with No Listings to View Yet
If the recipient clicks Yes, please send me listings, but their subscription has not sent any listings to the News Feed yet, they will be taken to a screen that lets them know their account has been confirmed and they will receive new listing updates by email. 




If they click Manage Subscription (shown above), it will allow them to unsubscribe from listing updates.


Confirming a Subscription When There ARE Listings to View
If the recipient clicks Yes, please send me listings, and their News Feed has had listings sent via subscription between the time the subscription was created and the time your contact clicked Yes, please send me listings, they will be taken directly to their News Feed in the Portal. A message saying "Thanks! We've confirmed your email" will appear on the screen to let them know that they have successfully confirmed their email address to receive subscription updates. The message will appear whether you use the classic portal, the new portal, or if the user is using the mobile web portal.

Note: The above workflow takes place only when you create a subscription for a contact who has an unconfirmed email address. If they have previously clicked to open manual emails you've sent them from Flexmls, their email address has already been marked as Confirmed. For more information on this process click here. Confirming an email address is a one-time process for your contact; once they confirm they have a valid email address and would like to receive listing updates, they will not need to confirm that email address again even if you set up new subscriptions for them.

IMPORTANT: System Maintenance September 30

Friday, September 30, 11:00 PM Eastern - The MLS computer system will be placed into "Read Only Mode" to perform necessary maintenance. 

During maintenance, you will be able to login to search and view information only but you will not be able to add or change data until approximately 8:00 AM on Saturday, October 1st.

Ability to View Number of Subscription E-mails Viewed Per Contact

On October 3rd, you can quickly see the number of subscription e-mails a contact has viewed while in Contact Management and on the Classic Dashboard. Additionally, the My Sent E-mails gadget on custom dashboards will change the label to Subscription rather than Automatic

Contact Management 
When viewing a specific contact on the Contact Management page, the first tab's E-mail Activity will included summary activity for subscription e-mails that the contact has viewed. 

 

Also, your Contact List's E-mail Summary will included an SV column that shows the number of views for Subscription E-mails. 

 

Clicking on the Subscriptions Viewed for a contact will take you to that contact's subscription e-mails on the My Sent E-mails page. 

 


Classic Dashboard 
When viewing the Classic Dashboard, the Contacts panel will include a column of information for viewed subscription e-mails. Clicking on the Subscriptions Viewed for a contact will take you to that contact's subscription e-mails on the My Sent E-mails page. 

 


My Sent E-mails Gadget 
If you use the My Sent E-mails gadget on your customizable dashboard, the option to view your sent subscription e-mails will now be labeled Subscription rather than Automatic in order to keep labels and terminology consistent in Flexmls. Additionally, the column showing the number of times a contact has clicked the e-mail to view the listings will be labeled Views rather than Hits

Flexmls Pro Version 2.4 soon Available in Apple App Store

On October 10, Flexmls Pro version 2.4 will be released and available in the Apple App Store. This version will include improvements to sharing listings, selecting specific MLSs when searching (if your MLS uses a datashare with other MLSs), improved Address Searching, the ability to search listing collections, improved sorting, and the ability to enter login information less frequently.

Improved Sharing
When you share a single listing, selected listings, or a search, the share screen has a blue ribbon at the bottom with three options: Email, Text and More. Email and Text allow you to select (or add) a contact as the recipient and then send the listing(s) via email or text message. As before, More generates a link you can share from available apps in your phone. 




If you choose the Text option and your selected contact has multiple phone numbers in Flexmls, you can choose which phone number you'd like to send the listing to. Additionally, the text message will contain a preview photo in the message. 





Datashare: Option to Select Specific MLS(s)
If your MLS participates in a datashare with other MLSs, you can select which MLSs you'd like to use when creating or editing a search. From the Filter screen, tap Data Source to bring up the available MLSs. Once you've selected the appropriate MLSs, tap Done to return to the Filter screen.





Improved Address Search
The Advanced Address search will look for the exact number entered when searching fields like Address # and Unit # rather than using the number as a wild card and returning results where the number appears anywhere in the address or unit number. 




The Simple Address search displays an updated count of matching listings as you type your search criteria.
