ShowingTime Messaging for Agents and Other Enhancements
Flexmls-Send Confirmation E-mail Option Immediately Available on 12/14/2016
On
December 14, the Send Confirmation E-mail option will be available
immediately after creating a contact in Flexmls. Additionally, contacts
will be able to confirm their e-mail address from within the Portal.
Since new contacts must confirm their e-mail address to receive
subscriptions notifications by e-mail, these new options will help make
the process easier to manage.
Contact Management - Send Confirmation E-mail Currently, an e-mail to confirm a contact's e-mail address is automatically sent the first time a new listing matches the contact's search criteria. As of December 14, agents will be able use the Contact Management page to manually send a Confirm E-mail link to contacts before the automatic confirmation e-mail is sent. This means that agents can have a new contact confirm their e-mail address immediately after creating the contact or before they set up a subscription for the contact. To send the Confirm E-mail Address, select the desired contact in Contact Management, then click on Send confirmation e-mail in the Action column on the first tab. Once the request has been sent, the Contact's status will be Pending until they open the e-mail and click to confirm their e-mail address. When the contact opens the e-mail they will be able to click to confirm that their e-mail address is valid which will allow them to receive subscription notifications via e-mail. Additionally, clicking to confirm their e-mail address will reactivate any expired subscriptions they may have. Note: You can only send the confirmation e-mail invitation once, so it would be appropriate to contact the user personally before clicking on the Send confirmation e-mail option. Portal - Send Confirmation E-mail Contacts can use the Portal to confirm their e-mail address in order to receive subscription notifications via e-mail. If the contact has an e-mail address that is inactive or pending, a notification will open automatically the first time they use their Portal that day. They can click Send Confirmation E-mail to send themselves an e-mail that allows them to confirm their e-mail address and opt-in to receiving subscription notifications via e-mail. They can also access the Send Confirmation E-mail setting manually. To do this, they will select the My Account option. Then click on E-mail Settings If they have not previously confirmed their e-mail address, they can click the Send Confirmation E-mail option in the Action column. If they have previously opted out or if their e-mail address is inactive from lack of use, they can view their status and click Send Confirmation E-mail to send a confirmation e-mail request to the e-mail address that is listed. |

New/Updated Data Fields to Flexmls December 1st
New and revised listing data fields will be implemented on December 1st in Flexmls. Most of these changes come from you, our members, in an effort to improve the listing information. However, some fields are required changes to comply with an industry effort of standardizing MLS data nationwide.

Some Notes:
- The FHA 203K and the Laundry-Garage/Carport selections will automatically update on your listing(s).
- The 3 DAC (Days After Closing) selection under Occupancy will now be a numeric input field to accommodate any time frame as agreed upon by the seller. If you currently have 3 DAC selected, the number will automatically be populated with the number three (3).
- Listing Type will automatically convert to the correlating data selection
- Video Surveillance is being added to Showing Instructions for informational purposes, Please keep in mind that audio recordings are illegal unless a waiver/release is signed by the buyer and or any party representing the buyer (see Florida Statute 934). A warning about the use of audio recordings on the property will be included in the newly revised Listing Agreement to be released soon.
- Agency Disclosure is a NEW REQUIRED field that MUST BE UPDATED BY THE LISTING AGENT before any modifications can be completed on the listing.
Saved Searches should not need to be updated unless they contain FHA 203K, 3 DAC, and/or Listing Type or if you would like to include any of the new data fields.

Deleting Custom Collections from Portals
On October 19, you will be able to delete a custom collection from a contact's portal while on the Contact Management screen and when you Work of Behalf of a contact. Currently, the only way to remove a custom collection is by clicking the View Portal link on the Portal tab in Contact Management.
Delete Custom Collection - From the Portal Tab
From the Contact Management screen, select a contact then select the Portal tab. Click the red X next to a collection to delete it. Deleting a custom collection will remove the entire collection from the contact's portal. If you click the X next to the default Recommended, Favorites, Likes, No Interest, or Removed collections, you will clear any listings from the collection, but the collection name will remain.

Introducing Form Simplicity’s Broker Transaction Management Enhancements

In line with our mission to constantly improve the transaction workflow for real estate agents nationwide, Form Simplicity is delighted to announce a recent upgrade of the broker transaction management process within the Broker View settings. The layout has been revamped and updated to include a simple and easier-to-understand process for submitting files for review, a customizable checklist for brokers, and better tracking of agents’ and brokers’ communications throughout the transaction review to ensure compliance and legal procedures are followed.
Within the new upgrade, brokers have the ability to create a customizable checklist for their agents to follow when submitting transactions for review. The list features multiple components of a transaction, such as a residential lease or HOA agreement and does not allow the agent to submit the transaction for review until all required documents have been uploaded. As the agent uploads signed parts of the contract into Form Simplicity, the contract changes color depending on the status, such as red for required, yellow for added and purple for additional files. Once the contract has all necessary files uploaded, and the agent has completed all desired notes to their broker, the contract is submitted and under review once the broker opens the file.
In the Transaction Management tab, the Broker is able to review all files that he/she has been designated to view. Once the contract has been reviewed, the Broker, or delegated reviewer, checks off the section as completed or needs work. The broker or reviewer is notified of various notes in each section, and is able to write notes back to the agent. There is also a new “view all” button which allows the broker to see all files as one PDF document for easier readership.
“Utilizing the foundation of our original broker review process, we were able to enhance this feature to make it more robust while keeping in-line with the simplicity and ease-of-use of our previous broker submittal feature. This will allow current users of this feature to be able to continue submitting and reviewing transactions without skipping a beat, and results in a minimal learning curve for any new brokerages looking to incorporate it into their paperless workflow,” said Product Development Manager Jason Schatz.
Additionally, a feature that was launched earlier this Summer, Email and Text Message Tracking, is a vital piece to Form Simplicity’s Broker Transaction Management, since it tracks and logs all emails and text messages connected to each transaction.
The new Broker features are currently available on Form Simplicity for all Professional and Ultimate Edition users.

Are You Protecting Your Sellers & Listings-How to Assign the Supra Keybox to Your LIsting via Flexmls
Are you doing everything you can to protect your sellers and their
property?
Are you using all the features of the Supra keyboxes to ensure
protection?
While not required, it is HIGHLY RECOMMENDED that
you use the Supra keyboxes to secure entry into your
seller's homes. First, it makes it very easy for showing agents to
access the listing securely. Plus, in light of the recent key exchange with the
St. Augustine Board of Realtors, it makes it very convenient for all local real
estate professionals to access. Second, Supra brings years of experience in
providing efficient and secured entry to your listings. These keyboxes
offer you detailed activity reports while giving your sellers peace of
mind.
But is it enough to just place a Supra keybox on the listing's
door?
The answer is NO,
In order to provide the security your sellers expect, it is
imperative that you also ASSIGN THE KEYBOX TO YOUR
LISTING. Failure to do so will not give you the full picture.
While you can obtain a report of who used the keybox during a certain
time frame, you cannot verify the location of that specific keybox.
You can do this direct from your e-key, by logging into www.supraekey.com, or you can assign the
keybox to your listing using Flexmls (see steps below):
1. Go
to Change Listing
2. Enter
the MLS#
3. Select Supra
Functions (found under Listing Information in the first box on the
left). This will automatically log you into the Supra system.
4. Enter
the keybox Serial number and Shackle code
5. Click Assign
That's it. Notice that you can perform other keybox
functions such as Removing the keybox from that listing (which
you must do before re-assigning to another listing), access Activity
Reports and the keybox Setups.
Plus, if you assign the keybox to the listing AND use ShowingAssist
for your appointments, you can receive reports that match both the showing
appointments to the actual showings.
Be sure to protect your listings by assigning the Supra keybox to
your listing. Using Flexmls makes it easy.
